The Eudora Address Book


When you open the address book you will see 3 address files - Eudora Nicknames, Distribution Lists and Staff Listing. Address files are denoted by an icon that looks like a closed book. These files contain collections of Nicknames which are denoted by an icon that looks like a yellow tag - each Nickname is associated with an email address (or multiple addresses.) Right above the list of address files is a View By: box - this should be set to Nickname - On the right hand side of the file list is another window with 3 tabs at the top - Address(es), Notes and Info - click on the Address(es) tab.

The Eudora Nicknames file is the system default - it is empty to start with but you can use it if desired for Nickname creation and storage. The Distribution Lists and Staff Listing files are organization specific and are created by the CIT office. Changes should not be made to these files directly, as they will be replaced each time you update your address book. The Nicknames in the Distribution Lists file each point to a single address on the mail server here at Taylor Hall. (Ex. 1 Copy All Staff points to ocas@ceunh.unh.edu) Hence, any changes to the membership of these lists will need to be requested from the CIT office because the file on the server will have to be modified. Requests can be sent via email to listmgr@ceunh.unh.edu. The membership of the various distribution lists can be viewed on our website in the Eudora area. Each Nickname in the Staff Listing file points to the email address of that person or office. (Ex. John Pike points to john.pike@unh.edu)

Customizing Your Address Book:

It is unlikely that you will need to access all of the Nicknames in either the Distribution Lists or Staff Listing files. These files are long and fairly cumbersome to work with, but the good news is that you can create your own personal address file with the Nicknames that you use frequently or you can copy them into the the Eudora Nicknames file - this is your choice. You can have any number of address files - you may want to create more than one to help you organize your Nickname collections.

To create a new file, click on the New button at the foot of the address file column. A New Nickname dialog box will come up where you can name the file - for the sake of this example we'll call it Most Used - after naming the file put a check in the box that says Make it a file and then click on OK. A new address file will appear in your address file list. Now, say you use the distribution list 1 Copy All Staff on a regular basis and you want it available in your Most Used file. Open the Distribution Lists file and right-click on the 1 Copy All Staff nickname - drag down to Copy to... and left-click your mouse. A dialog box will appear that lists your address files - Most Used will be on this list - Highlight Most Used and click OK. Now a copy of the 1 Copy All Staff nickname will be in the Most Used address file. You can follow this procedure to copy any number of nicknames into an address file - multiple selections will also work.

To create a new nickname you would again click on New at the foot of the address file list. When you get the New Nickname dialog box you enter the new nickname (ex. Joe User) - In the File: box directly underneath be sure that the nickname is going into the appropriate address file - click on the arrow to the right of this box to see your address file list - this is where Most Used should appear. Click OK. The Nickname will appear in the left-hand column and your cursor will be on the right in the Address(es) window. Simply type in the address that you want this nickname to point to. (Ex. Joe.user@hostname.com) You can enter multiple addresses for a single nickname, just be sure to hit return and go to the next line for each address - this is how you can create your own personal distribution lists. When you close the address book you will be asked if you want to save your changes. Just click on Yes and you're done!
