Using the UNHCE Online Scheduling System
The UNHCE online calendar system is located at: http://extension.unh.edu/ceschedule/index.cfm in our UNHCE Intranet.
To gain access to this site, you will need to put in the default UNHCE username and password, which is used for all UNHCE intranet applications. (This may already be stored in your computer. If not, you may want to select “Remember my password” so that you won’t have to re enter it every time you access our intranet.)
I. Creating a User Profile
Your first time on the site, you will need to create a User Profile. Select Create Profile in the upper right hand corner of the main page to get started. This will bring you to a page where you enter your information.
Fields for the profile include:
- Display name: This is how your name will appear on the calendar. If you are posting to multiple calendars, keep in mind that you may want to include your last name, to avoid duplicate names.
- Email address: This should be your UNHCE alias. The convention is firstname.lastname@unh.edu. (For example: barbara.wright@UNH.edu)
- Default calendar: This is the calendar which will appear every time you log in or access this site. You may select other calendars once you are logged in.
- Default Schedule Entry: This entry will populate the form when you go to enter your weekly schedule. You can change it for days where your activity is other than the default.
- This field can be changed at any time by going into the “Modify user profile:” area. For instance, you might have “office” as a rule. You then might take a sabbatical, and change the default to sabbatic leave.
- Calendars to include your schedule on: You may select as many calendars you would like your schedule to appear on. For instance, a program leader might be on both the administration calendar and his/her content program area calendar. To select more than one calendar, hold down the Ctrl key while selecting (clicking the left mouse button on) each calendar you want to select.
Note: A day's schedule is put on your selected calendar when you enter the day's schedule information. Therefore, if you change the calendars to display your info on, they will not be updated until you submit or save the schedule information.
- Username: This is your login name. Make sure your username & password combination are things you will easily remember. In order to access your calendar from another computer, you will need to login using this combination. (Hint: You might want to use the same username/password combination on all UNHCE applications. i.e. use the same username password for this as you have for FormBuilder and any other UNHCE applications you use.)
- Password: This is the password you enter when you login. It is set when you create your profile. You can reset it at any time by going into the “Modify user profile:” area. Make sure it is something you can remember.
Once you have entered your selections, click on submit to set up your profile.
II. Using the calendar
Logging in: Once your profile is set up, you can log into the calendar application, and it will bring you to your default calendar. To log in, select log in on the upper right corner of the calendar application, at: http://extension.unh.edu/ceschedule/index.cfm
The application will “remember” you from session to session (on the same computer with the same browser) as long as you don’t log out of the application or clear your browser’s cookies. If you are the only user who accesses the calendar application from your computer, you will automatically go to the default calendar every time you connect to this application. If you have multiple people who access this application for the computer you should log out of the schedule when done (using the right-hand drop-done box.) If you are accessing this from a new computer, you will be prompted for your username & password.
To view a different calendar, click on the arrow to the right of the View calendar box. A drop down menu will be displayed, listing all of the calendars available. Select the desired calendar, and click on the “GO” button under the dropdown box. (Note: You can only view one calendar at a time.) The last calendar on the list is a monthly view of your personal schedule. From that view, you can click on a date to enter an activity for that date.
“Perform Action:” (on the right side of the top) gives you the following options:
- Enter next week’s schedule: This is the default option. To enter or make changes in the following week’s schedule, make sure this option is selected, and click on the “GO” button underneath.
- Enter this week’s schedule: This is the second option in the dropdown menu on the upper right corner of the screen. To select this option, click on the arrow to the right of the “Perform action:” box. A drop down menu will be displayed, listing all options available. Select this option, and click on the “GO” button under the dropdown box.
(Note: You can only enter the following week a week at a time. To enter something further in the future, use the “Enter single day’s schedule” option.
- Enter single day’s schedule: This is the third option in the dropdown menu on the upper right corner of the screen. To select this option, click on the arrow to the right of the “Perform action:” box. A drop down menu will be displayed, listing all options available. Select this option, and click on the “GO” button under the dropdown box.
- Change User/Log-in: If you want to enter or access information for another user, you need to Login using that user’s username and password. To do so, click on the arrow to the right of the “Perform action:” box. A drop down menu will be displayed, listing all options available. Select this option, and click on the “GO” button under the dropdown box.
Note: Some people use the calendar to track things such as equipment, laptop sign outs, etc. In that case, they login as themselves for their personal calendar, and as “equipment,” “lab” or whatever name they use to track the items on their calendar.
The upper right hand corner of the screen will display the user who is currently logged in.
- Modify user profile: This option allows you tomake changesin the items you selected when you original created your login. You can change your password, login ID, first/last name, name as it appears on your calendar, email address, default calendar, or the calendar on which your schedule is displayed
To access this option, click on the arrow to the right of the “Perform action:” box. A drop down menu will be displayed, listing all options available. Select Modify user profile, and click on the “GO” button under the dropdown box.
- Logout: To log out, click on the arrow to the right of the “Perform action:” box. A drop down menu will be displayed, listing all options available. Select this option, and click on the “GO” button under the dropdown box.
Note: Be sure to log out if you are not using your own computer. This is particularly important if you are using a public computer, such as at a kiosk or library.
III. Changing weeks
To select a week in the future, click on the arrow to the right of the Show future week: box. This will display a dropdown menu, listing weeks up to one year in the future. Select the desired week. Click on GO to the right of this box to display the week.
To select a week in the past, select Show past week: This will display a dropdown menu, listing weeks dating back to 10/7/02. Select the desired week. Click on GO to the right of this box to display the week.
The terms “future” and “past” are in reference to the week currently displayed. If you look up a week 3 weeks ago, and then want to look at 2 weeks ago, it is a “future’ week, as it is after the week currently displayed.
IV. Printing the calendar
To print the calendar select, “ Click here for printable version” on the bottom of the screen. You will probably want to change the page orientation to landscape mode, in order to print out the entire week on one page.
